The Meetings Show

The Meetings Show gives you two days at Excel London to compare more than 550 hotels, destinations, destination management companies, venues, conference centres and technology suppliers, and entry is free if you organise meetings, events or incentives. If you qualify as a hosted buyer, the organiser, Northstar Meetings Group, can cover your travel and hotel and give you a diary to book your supplier appointments.

You can register your interest now so you hear first when registration opens in 2027. Hosted buyers are let in at 9am and exhibitors at 8am, half an hour or more before other visitors. Under 18s must stay with an adult, and business dress is expected.

If you supply the industry rather than organise events yourself, you either buy a visitor pass, which covers all conference content on both days, or you exhibit. Passes are not refundable. If you are comparing events in the events and hospitality sector, Excel London also hosts International Confex and the Event Production Show, both from 3 March 2027.

Meet suppliers and learn alongside other planners

Visitors include associations, professional congress organisers, charities and government bodies, in-house corporate teams, event agencies, incentive houses, travel management companies, venue finders and marketing agencies. The education programme runs as panels, presentations, workshops and Q&As pitched at all levels. Networking runs through on-stand drinks, activations, parties, competitions and entertainment.

Let the hosted buyer programme pay your way

If you are a UK or European decision-maker who organises meetings and events, you can apply to be hosted, and in 2026 a limited number of places went to US planners. Applications are judged on the size and frequency of your events, your buying authority and where your events take place. In-house hotel and venue event organisers do not qualify. You must pre-book appointments in the online diary.

The package covers return economy flights from Europe, America or selected UK airports, or standard class rail, bed and breakfast in a hotel of at least four stars, airport transfers and a lounge with refreshments and lunch. You can also apply for a familiarisation trip run by an exhibiting destination; Madrid, Bristol, Bath and Q Hotels ran them in 2026. Cancelling after 15 May may cost you up to £500.

Fill your diary as an exhibitor

Exhibiting gets you one-to-one appointments with every hosted buyer through a system in which buyers choose whom to meet. The organiser reports more than 22,000 appointments and presentations at the 2026 show, with over 1,100 qualified buyers present. It promotes exhibitors to 28,000+ social media followers and 36,000+ buyers by email. You choose from three stand types:

• Space only: an online exhibitor profile with videos and sales collateral, a show catalogue entry and social media and PR coverage
• Shell scheme: white walls, carpet, a fascia name board, one socket and two lights
• Pavilion: a table, two chairs, a UK power point and backwall graphics within a group such as London, Destinations or Hotels and DMCs

The free Group Coordinator scheme lets you invite clients as hosted buyers in return for incentives such as stand discounts.

Show size in 2026

The organiser published 1,181 buyers, 575 exhibitors and 4,292 unique attendees for 2026. For event technology on its own, Event Tech Live London is at Excel London on 11 November 2026, among other trade shows in London.
